The salary range is $47,178.00 to $72,063.00 Please note that the final salary will be determined by our Classification and Compensation team after reviewing the candidate's experience and considering our internal salary equity.

Job Summary
Provides financial and administrative support in the office. Work involves reviewing, processing and entering a wide assortment of invoices, performing fact finding and analytical research using a variety of information sources, and preparing statistical and narrative reports. Work additionally involves preparing Action Items, contracts, notifications of asbestos abatement and maintaining all necessary documentation.

Essential Functions

  • Monitors expenditures and encumbrance documents for accuracy, completion and conformance to standards; prepares account reconciliations and reports to determine the propriety of expenditures; advises departmental personnel on the status.
  • Monitors contracted services to ensure adherence to contractual requirements.
  • Prepares, adjusts, maintains and reviews financial accounting records; records and reviews financial data relating to costs, expenditures and receivables and ensures that expenditures are charged to the appropriate budgets.
  • Collects and compiles data for monthly budget meetings; assists in the budget preparation process and implementation.
  • Develops notifications local and state notification of asbestos abatement after meeting with the AHERA Manager.
  • Prepares purchase requisitions or assists operating staff in the preparation of such forms and ensures that office standards and procedures are adhered to; resolves requisition problems such as delivery delay and discrepancies in billings; monitors the flow of associated paperwork and information through the system; oversees the receipt of goods and merchandise; processes the necessary paperwork for vendor payments and serves as the office liaison for vendors with questions or problems.
  • Maintains current inventory records of all office property and equipment; ensures that all office property is properly labeled and accounted for by maintaining a log of staff members responsible for specific equipment and supplies.
  • Prepares payroll and monitors attendance of various employee classifications.
  • Schedules yearly physicals for all District employees required to have an annual physical to comply with the Occupational Safety and Health Administration (OSHA) standards.
  • Maintains and updates key reference documents and spreadsheets.
  • Assists with training personnel as required.
  • Performs related duties as required.

Minimum Requirements

  • High school diploma or equivalent.
  • Five years of full-time, paid clerical experience, three of which have been at an advanced or specialized level and have included maintaining and reviewing financial records and some data analysis.

Demonstrated knowledge of:

  • office practices and procedures.
