Job Summary 

Performs a variety of analytical, administrative and complex clerical tasks of limited  scope and difficulty in an operating division of the District. Performs varied facilitative  tasks such as recordkeeping; collating and analyzing data and information; conducts  research and specialized studies; and prepares reports, charts and/or graphs. 

Essential Functions 

Receives assignments within an assigned functional area of limited scope and difficulty  and performs a variety of facilitative tasks under the direction of a technical,  administrative, personnel, analytical, or budgetary official. 

Completes special projects as assigned by conducting research to gather necessary  information; reviewing, analyzing and evaluating data; preparing graphs, charts and  reports showing findings and making recommendations for action when appropriate. 

Disseminates information regarding policies and procedures to departmental  administrators. 

As determined office assignment, prepares or assists in the preparation of budget  documents by gathering figures and compiling data for preliminary budgets, obtaining  information in support of request budgetary increases, contacting appropriate parties in  an effort to resolve any problems uncovered and assisting in making necessary  adjustments resulting from administrative reviews, and providing information to  administrators concerning budget requests and status. 

As determined by office assignment, assists employees in the completion of personnel  forms, informs employees of District rules and regulations and completes necessary  paperwork to effect personnel transactions. 

Maintains records on purchases, expenditures and balances of accounts and ensures  that expenditures are within budgetary allotments. 

Uses software packages for personal computers to format databases, create  documents and reports, spreadsheets and graphs. 

Enters new and edits existing information in the databases as well as extracting  information. 

May supervise a small clerical or stores staff in the performance of a variety of a  variety of duties within an assigned functional area. 

May prepare documentation for the transfer of funds between accounts upon approval  of a superior. 

May attend meetings with or in lieu of superior.

Minimum Requirements 

Two years of study at an accredited college or university.  

Two years of full-time, paid, experience performing complex clerical, administrative or  related facilitative tasks which have included responsibilities in the areas of analysis, budget, personnel, procurement and/or records control as well as demonstrated skill in using personal computer applications to design databases and create spreadsheets,  graphs, documents and reports. 

OR 

Any equivalent combination of education and experience determined to be acceptable by the Office of Talent 

 

Knowledge, Skills and Abilities  

Demonstrated knowledge of: 

o business English. 

o office principles, practices and procedures. 

o software applications for personal computers which are used to create or  maintain databases. 

o software applications for personal computers which are used to design  spreadsheets and graphs. 

o software applications for personal computers which are used to create reports  and documents. 

o report writing. 

o research methods and data analysis. 

o administrative processes as they relate to the functional area to which assigned. 

Demonstrated ability to

o prepare and interpret narrative and statistical reports. 

o make sound decisions and recommendations for action. 

o oversee the activities of others. 

o understand and follow written and oral instructions. 

o communicate effectively, both orally and in writing. 

o establish and maintain effective working relationships.
