Job Summary

Plans, directs and oversees all activities and the day-to-day business of the Office of Employee Records and the electronic employee records system. Ensures best practices for employee records management in compliance with the District's policies and procedures. Provides strategic leadership and oversight for the management, governance, security, and integrity of confidential records and information. Partners with policylevel administrators, school officials, and Information Technology (IT) leadership to ensure records management systems and technologies are strategically implemented, securely administered, and aligned with organizational policies, regulatory requirements, and records management standards. Serves as the department's strategic authority for records management technology and document management, representing the department in enterprise-level initiatives and matters related to information governance, records systems, and data security.

Essential Functions

Provides strategic leadership and oversight of records and information management operations, projects and services.

Directs and oversees staff in the delivery of records processing and customer service; monitors the activities of staff to ensure timely completion of projects and manages the overall workflow structure and staffing assignments.

Oversees data map from source to final output.

Directs the development of core taxonomies for electronic records and physical documents/records.

Ensures the office and records management policies, procedures and protocol comply with District policies; develops programs for effective records management, file maintenance, records disposition and vital records protection.

Oversees the collection and dissemination of records management information, technological developments, and other records-management related activities.

Ensures appropriate facility and system access, set-up and release of employee records.

Reinforces the District compliance with the various archival and retention rules and regulations.

Directs the retention schedules, manages inventory and tracking systems, records classification, file maintenance, retrieval requests, on-site storage services and other project activities and services to meet customer requirements.

Manages the standards, procedures and guidelines for decentralized archival of employment information.

Administers and facilitates the best practices for employee records management, office management and customer service.

Establishes policies and procedures in conjunction with policy level administrators and other school officials on records management and retrieval of confidential information.

Maintains an office and records management quality assurance and business contingency program.

Plans and institutes quality controls, operating standards and process metrics.

Provides oversight on the identification, business case development, process and system implementation of records management technology; responds to assigned contractors' requests for information and/or administrative assistance.

Develops and manages comprehensive project plans for assigned contracts using project management software; monitors project progress, milestones, deliverables, and timelines, and prepares regular status reports to ensure successful and timely execution.

Researches trends to ensure adherence to established procedures; ensures that new employees and/or employee changes are programmed into the system.

Represents the department on various committees related to Employee Records.

Minimum Requirements

                   Bachelor's degree from an accredited college or university in Library and Information Science, Business Administration, Archives and Records Administration, Information Technology or a related field.

                   Seven years of full-time, paid, professional experience in records program support, human resources or a related area.

OR

• Any equivalent combination of training and experience determined to be acceptable by the Office of Talent.
