This is a full-time 12-month, PFT represented position. The salary grade is 0026 which starts at $51,462 for new PFT members.

Job Summary
Performs diversified functions within an assigned office at the full performance level. Organizes and facilitates a variety of special projects and/or programs in support of office operations that involve conducting research, compiling data and preparing reports as required. Acts as a liaison between the assigned office and other District offices as well as outside agencies.

Essential Functions
With journeyman level responsibility:
• Organizes and facilitates a variety of special projects and/or programs; compiles data and statistics; prepares financial, statistical and/or narrative reports; reports results and makes recommendations to superior, when appropriate.
• Conducts research in response to inquiries received or in an attempt to resolve problems; gathers and analyzes information and/or data; communicates findings.
• Acts as a liaison between the assigned office and local and state governmental entities.
• Works collaboratively with other offices and outside agencies on the implementation of joint ventures; may assist by recruiting District staff participants, securing District space and/or addressing financial issues.
• Attends meetings with representatives from outside agencies that desire to partner with the District on new initiatives; gathers information and determines the feasibility of the District’s participation; makes recommendations to superiors.
• Evaluates the effectiveness of ongoing and special projects being conducted under the auspices of the assigned office; makes recommendations for modifications as needed.
• Responds to inquiries received from within the District and from outside agencies regarding School District policies, procedures and initiatives.

Capital Programs Specialty

  • Organizes and facilitates a variety of special projects and/or programs by conducting research to gather necessary information and provide project support to Project Managers of Architectural, Electrical/Mechanical, Landscape, Structural projects and other managers as needed.

     

  • Conducts research in response to inquiries received or in an attempt to resolve problems;
    gathers and analyzes information and/or data; communicates findings.
  • Assists in the preparation, processing, and distribution of project-related documents,
    including proposals, contracts, specifications, reports, and correspondence.

     

  • Attends meetings, gathers information, takes detailed notes, and distributes minutes to
    attendees.
  • Evaluates the effectiveness of ongoing and special projects being conducted under the
    auspices of the Office of Capital Programs; makes recommendations for modifications as
    needed.
  • Responds to inquiries received from within the District and from outside agencies
    regarding School District policies, procedures and initiatives.
  • Supports the processing of invoices, including review for completeness and routing for
    approvals.
  • Applies School District standards, policies, and procedures related to Capital projects.
  • Assists in site visits to help document existing conditions and gather information under the
    guidance of senior staff.
  • Helps prepare documentation for project scope development and design reviews.
  • May assist with short- and long-range planning for the Office of Capital Programs.
  • Performs other duties as assigned to support the Office of Capital Programs.

     


    Other Functions
    • May conduct basic research on legal issues related to School District programs and policies as requested.
    • May assist with short- and long-range planning for the assigned office.
    • May participate in the review and/or preparation of grant proposals.
    • May represent superior at staff meetings.

Minimum Requirements

  • Bachelor’s degree from an accredited college or university in Architecture, Landscape
    Architecture, Interior Design, or Mechanical, Electrical, Civil or Structural Engineering
  • One year of full-time, paid administrative or administrative support work which has
    included conducting research, analyzing and collecting data, preparing reports, and
    extensive use of Excel as well as using fiscal and business best practices related to
    project management and has involved interfacing with multiple departments and agencies.

Knowledge, Skills and Abilities
• Demonstrated knowledge of:
o office principles, practices and procedures.
o standard research methods and techniques.
o report writing.
o business English, including spelling, punctuation and grammar.
o personal computer software applications that are used to create reports and documents and to design spreadsheets.

• Ability to:
o analyze data and to make recommendations based on findings.
o handle multiple projects through to completion.
o use and operate a personal computer.
o use word-processing and spreadsheet software applications.
o communicate effectively, both verbally and in writing.
o establish and maintain effective working relationships.
